Inviting team members
Share your knowledge base by inviting colleagues to your workspace.
Prerequisites
To invite members, you need:
- Admin or Owner role in the workspace
- Available seats on your plan
Sending invitations
- Go to Settings > Team
- Click Invite Member
- Enter email address(es)
- Select a role:
- Member - View and search
- Admin - Manage documents and settings
- Click Send Invitation
Invitees receive an email with a link to join.
Invitation status
| Status | Meaning |
|---|---|
| Pending | Invitation sent, not yet accepted |
| Accepted | User joined the workspace |
| Expired | 7 days passed without acceptance |
Managing invitations
Resend invitation
- Find the pending invitation
- Click Resend
- New email is sent
Cancel invitation
- Find the pending invitation
- Click Cancel
- Link becomes invalid
After acceptance
New members can immediately:
- View all workspace documents
- Search the knowledge base
- Use search links and instruction sets
Admins can also:
- Upload and manage documents
- Manage tags
- Invite other members
Limits by plan

Troubleshooting
Invitation not received
- Check spam/junk folder
- Verify email address is correct
- Resend the invitation
"Invitation expired" error
Invitations expire after 7 days. Send a new invitation.
"Plan limit reached"
Upgrade your plan or remove inactive members to invite new ones.
