Inviting team members

Share your knowledge base by inviting colleagues to your workspace.

Prerequisites

To invite members, you need:

  • Admin or Owner role in the workspace
  • Available seats on your plan

Sending invitations

  1. Go to Settings > Team
  2. Click Invite Member
  3. Enter email address(es)
  4. Select a role:
    • Member - View and search
    • Admin - Manage documents and settings
  5. Click Send Invitation

Invitees receive an email with a link to join.

Invitation status

StatusMeaning
PendingInvitation sent, not yet accepted
AcceptedUser joined the workspace
Expired7 days passed without acceptance

Managing invitations

Resend invitation

  1. Find the pending invitation
  2. Click Resend
  3. New email is sent

Cancel invitation

  1. Find the pending invitation
  2. Click Cancel
  3. Link becomes invalid

After acceptance

New members can immediately:

  • View all workspace documents
  • Search the knowledge base
  • Use search links and instruction sets

Admins can also:

  • Upload and manage documents
  • Manage tags
  • Invite other members

Troubleshooting

Invitation not received

  • Check spam/junk folder
  • Verify email address is correct
  • Resend the invitation

"Invitation expired" error

Invitations expire after 7 days. Send a new invitation.

"Plan limit reached"

Upgrade your plan or remove inactive members to invite new ones.
